FAQ Payment and Policies

1. How much is the Intake Interview/Application fee?
A $125.00 application fee is due upon submitting an application (non-refundable). The $75.00 application fee includes staff review and processing of your submitted application paperwork; and up to a 45 min. Intake Interview appointment with Intake Coordinator, parent/guardian and student at Learning Solutions. Original Application Fee and Intake Meeting remain relevant unless participant takes greater than 6-month break from attending group.
2. How much is the social group fee per participant?
For 60 min. weekly group with 3-6 students the fee is $70.00/hour.
For 60 min. weekly group with 2 students the fee is $75.00/hour.
For individual social tutoring 60 min. weekly the fee is $85.00/hour.
Families with more than one participant actively attending weekly social groups are eligible for a sibling discount of 10% for the second/other sibling. The largest discount any individual student is eligible to receive is 10%.
3. How much is the fee for a 30 min. Clinician: Parent (Guardian), in-house conference or consultation requested by family with no less than 16 weeks in between?
There is no fee for such a meeting if requested no less than 16 weeks apart, and student is actively participating in a weekly social group or tutoring. This does not apply to students participating in Clubs. Any meeting/consultation requested otherwise, or that continues past the length of 30 min., is billed at a rate of $60.00/30 min. with Clinician.
4. How much is the fee for a Social Club?
The fee(s) for Social Club(s) is/are determined at the formation of the Club, and posted with an announcement for registration.
5. How often do you bill for services/groups?
Services/Groups are billed for pre-payment, on a monthly basis. Payment is required in full, even if students must miss one or more sessions (except by written approval of Learning Solutions Executive Director).
6. What if a client needs to discontinue attending group?
We require one month notice for any student leaving group . Families are expected to pay for any sessions - whether attended or not - for the month following notice of cancellation. Please note the exceptions to this:
(1) documented emergency/medical reasons,
(2) if Learning Solutions cancels group and is unable to re-schedule at a time the family can attend (this includes snow days), and
(3) any other exceptions provided in writing by Learning Solutions Executive Director.
7. Are periodic discounts possible; and how are the applied?
Learning Solutions offers discounts for social groups, and credits in the following ways:
(1) Returning Student Discount: Students registering in adjacent sessions of social groups (i.e. summer immediately following School-Year, and School-Year immediately following summer) are eligible for a 5% discount, as long as the enrollment is continuous.
(2) Sibling Discount: If siblings are enrolled in the same session, the first sibling is charged full price (minus 5% returning discount if applicable) and second/other siblings receive a 10% discount. The largest discount any individual student is eligible to receive is 10%.
(3) Referral Credit: A $100 credit will be provided to a family who refers another student who registers and attends group for a determined amount of time; applied to the following invoice period.
(4) Any other discounts provided in writing by Learning Solutions Executive Director.

8. When is payment due?
Pre-payment for services/groups is due upon receipt of an invoice. When a student registers and begins mid-month, the family is expected to pay for the remainder of that month before attending group. All families are responsible for the payment of the full fees for service/invoice(s) regardless of if they are eligible for insurance reimbursement by their individual insurance carrier. Any client account carrying a more than 30 day balance due will be considered on hold pending payment arrangements. Services and/or group participation may be considered on hold as well until payment arrangements have been confirmed.
9. What forms of payment do you accept?
Learning Solutions accepts checks, cash, money orders, LS gift certificates, credit cards and PayPal payment. (If you are interested in paying via PayPal, please contact our office and we will send you our email account address for payments.) Some families have been successful using their FSA card (Health Tax Deferment Account) through credit card transaction in our office; and with a student medical diagnosis requiring social skills/language related therapies. Success of the FSA card is specific to your account coverage, not LS, and not guaranteed. (Inquire with your FSA Account Manager if you are eligible.) Learning Solutions will also accept payment from a student’s school system if the school system has either emailed consent to pay, or signed consent to pay agreement with Learning Solutions on behalf of the student receiving services through LS.
Learning Solutions does not bill insurance carriers directly for services.
10. Can I ask for a payment plan?
Learning Solutions is open to discussing with individual families any specific needs related to setting up a consistent payment plan for LS services. Please call 781-762-3750 or email info@learningsolutionsforme.com to inquire or schedule an appointment to discuss in detail.
11. Do you bill insurance for your social groups/clubs/tutoring? Will insurance reimburse clients for social groups/clubs/tutoring?
Learning Solutions does not bill insurance directly for services. Some families have been successful seeking reimbursement for paid services through their specific insurance benefits, as provided. Specific reimbursement rates and decisions of eligibility are determined by insurance specific carriers/plans, and not guaranteed by Learning Solutions. Clubs, academic tutoring, and/or intake interviews are not necessarily covered services even if weekly social groups are. Learning Solutions employs professionally licensed service providers to staff groups, clubs, and tutoring. Our staff represents professional licensure in Mental Health Counseling (LMHC), Speech and Language Pathology (M.S.-CCC-SLP), Board Certified Behavior Analyst (BCBA), and Special Education, Guidance Counseling, School Psychology (M.Ed.). Staff is either Master+ degreed Clinicians, Associate to Masters+ degreed Coaches, or interns/tutors working towards a degree/licensure in a related field.
12. How do I find out what/if my insurance plan will reimburse service fees?
Below you will find our service provider information to assist you in contacting your specific insurance company, and asking if your benefits provide "out-of-network reimbursement" for speech and language communication groups/therapy, social skills therapy/groups, group psychotherapy, or behavioral therapy. We recommend you contact both your medical coverage provider and your mental health coverage provider to access related information about "out-of network reimbursement" for social or communication services/therapies. If your student is eligible for reimbursement through your benefits, we recommend you inquire with your carrier about the need for any medical documentation or prescription/referral from your physician as well.

Diagnostic Code: This would need to be provided by your medical physician, and then from the client to Learning Solutions. (Ex. ASD code is F84.0; Attention Deficit Hyperactivity Code is F90.2, etc. )
CPT Code: Would be related/supportive of Diagnostic code provided by client to LS; and service provider leading treatment group/session. (Ex. speech group of 2 or more for treatment of communication code is 92508, individual speech for treatment of communication code is 92507, group psychotherapy code is 90853, BCBA behavioral supervision for skill development/social skills groups code is H2014, etc.)
Date/Time/Location of Service(s): LS provides 60 min. of service typically once per week. Specific to client(s). Some carriers require this to be documented in covered "units" such as 10 min. or 15 min. Please inquire with your carrier if this is needed specific to your benefits; and if so provide this information to LS for invoices. Services are provided in-office, or in the community.
